Our primary goals when designing the OPTiMiZE! trial process was to make running a trial simulation easy. Once your trial is confirmed, the OPTiMiZE! platform will help guide you through every stage of the process

Stages of a Successful Trial
1. Agree location and timing of trial
We begin with a short discussion to confirm:
The site where the trial will run.
Your preferred trial simulation date.
The criteria you can use to judge if the trial is a success.
The individual who will lead the trial process in your selected location.
Key stakeholders who you would like to provide visibility of the trial to.
Once agreed, we prepare everything needed and send your Trial Lead a link to access the platform.
2. Initiate Trial
After activating the trial, your Trial Lead is guided through the following steps to ensure the trial is set-up for success:
Watch the "Tips for a Successful OPTiMiZE! Trial" video.
Confirm the trial details (dates, stakeholders, site address etc) are correct.
Invite/confirm the Event Coordinator for the trial.
3. Prepare for OPTiMiZE! event
The Event Coordinator will then be guided through the following steps to prepare the trial:
Confirm receipt of the Game Kit.
Confirm that the Game Kit is complete.
Complete the self-service Event Coordinator training.
Confirm the details of the event.
Send Invites (with joining instructions) to the participants.
Check the training room before the event.
Confirm everything is ready to start the event.
4. Run your OPTiMiZE! event
On the day of the event, the Event Coordinator is guided through the tasks to set-up, coordinate and pack-up after the event:
Complete final checks and initiate the event.
Store the game kit.
5. Complete the trial process
After the event, participant feedback and learning data are automatically compiled and made available through the platform. You can easily invite stakeholders to view this feedback. In the days following the trial event, the Trial Lead then completes the following tasks to complete the trial process:
Share and review the participant feedback.
Review the post trial options.
Complete a post-event debrief call.
Take the appropriate next steps.
What we need from you
The most successful trials are typically led by organisations that actively engage with the process.
To maximise the value of your trial, we ask that you:
1. Appoint a Trial Lead
This person owns the trial internally and acts as the primary point of contact.
Typically this will be either an Operational Excellence/Continuous Improvement/Lean Lead, a Site Operational Lead or a Learning and Development Lead.
2. Appoint an Event Coordinator
The Event Coordinator handles the practical side of preparing and running the event.
Any confident employee can be an Event Coordinator. Most importantly, they do not need to be a Lean expert.
3. Secure a Suitable Room
OPTiMiZE! can be run in most medium-sized conference/training rooms (8M x 4.5M is ideal)
4. Invite the Right Participants
OPTiMiZE! delivers the best results when participants genuinely represent the workforce you are trying to engage. A minimum of 9 participants and a maximum of 12 can participate in the trial.
5. Involve Key Decision Makers
We strongly encourage inclusion of the people who will ultimately decide how Lean capability is developed within your organisation. Their visibility of the results often helps accelerate decision making after the trial
6. Evaluate With Intent to Purchase
It costs real money for us to provide a trial. We are doing it because we believe it's the best way to assess the value and impact of OPTiMiZE!. Please only trial OPTiMiZE! if you intend to deploy it if the trial is a success.
